Training
Posted in Computing, Systems developmentAll new systems will require the end users to be trained with hands on experience in using the software with real test data. Documentation describing how the system works from both a technical and a user standpoint is created for the purpose of training and maintenance.
Users at different levels of the company will require different levels of knowledge about the system. Low level workers may only be required to know how to input data and print reports. Accountants and managers will require more knowledge, knowing how to access and use transactions records and create invoices. Technical staff will need to know how backup, troubleshoot and customise the system.
Training can be provided in a number of ways:
- Training manual which provides a step by step guide on using the new system
- A video training course
- A tutorial which comes with the software
- Instructor-led training sessions
Training documentation typically comprises of 3 documents.
Installation manual
The installation menu is designed for the technical staff to help get the new system up and running. It will include details of:
- The hardware requirements of the system
- Any software requirements (e.g. Operating system)
- How to install the software (e.g. what folder to put files in)
- How to upgrade the software from a previous version
- How to create any data files for the first time
- How to configure the newly installed software
Operations manual
The operations manual is concerned with the day to day operation of the system. This document may include information on:
- Starting and exiting the program
- Backing up data in the new system
- What data storage is required
User manual
The user manual is concerned with the end-user who will be using the system when it is live. This document may include instructions on:
- How to input data
- How to navigate throughout the system
- Printing reports
- The structure of the system (What is where)
- How to get help
- How to undo an action
